Based in Dublin and servicing events all over Ireland, specializing in Event Draping, Lighting, Staging and Set Design. Job Description:
Gorilla Design produces large scale events for prestigious clients and brands, and we require an Event Operations Administrator to support our Head of Operations and Events Team while demonstrating the highest levels of professionalism.
This is a busy, varied role for an extremely organised multi-tasker who can work well under pressure. You will be providing administrative support to our Event Managers and Financial Director.
A major responsibility of the role is managing the staff schedule - scheduling our event crew and freelance staff as events are booked. This requires an extremely organised individual with proven attention to detail when working under pressure.
Further Tasks & Responsibilities:
- Keeping track of staff hours and time sheets, and compiling reports based upon them for the Financial Director
- Producing and distributing event itineraries and production schedules
- Managing transportation requirements
- Arranging travel and accommodation for staff
- Booking freelance event staff
- Managing the company’s social media presence
- Website maintenance updating website
- Assigning Purchase Order Numbers and tracking them across events, incoming invoices, etc., and compiling reports based upon them for the Financial Director
- Coordinating the organisation of meetings
- Compiling and distributing meeting agendas and minutes, and ensuring that all necessary actions from the meetings are followed up and completed
- Dealing with general enquiries via phone, email and social media
- Maintaining and developing where necessary a highly organised electronic filing system
- Financial administration
- Managing and updating our database of jobs and clients
- Liaising with IT Support
Person Specification:
- At least two years in a similar position with proven excellent administration expertise.
- Experience working in the events industry
- Proven technological proficiency and computer literacy, including Microsoft Outlook, Microsoft Office (Word, Excel, PowerPoint) and databases
- Experience in updating websites and business social media accounts
- Capability to cope with ambiguity and change and meet deadlines in a high pressured environment.
- Capability to manage competing priorities, demonstrating initiative and a capability to work independently.
