Organizational Setting

The war in Ukraine has placed the entire Ukrainian agrifood system at risk, with significant consequences for food security both in Ukraine and globally. The destruction or damage to agricultural infrastructure and markets, and the disruption of food supply chains is threatening the food security of already vulnerable populations. Agriculture-based livelihoods, a key source of income for 30 percent of the population, are severely impacted. While many Ukrainians are fleeing their communities and/or the country, a significant proportion of the population is staying, facing extreme challenges and thus requiring multisectoral humanitarian assistance.

In this context, the Food and Agriculture Organization of the United Nations is uniquely positioned in Ukraine to implement a multidimensional and innovative strategy to sustain and restore agrifood systems at scale.
Capitalizing on its technical expertise and in-country experience, in 2023, the strategic approach of the Organization will focus on restoring food security and self-sufficiency in front-line communities (Pillar 1); restoring critical agricultural production and value chains (Pillar 2); and enhancing coordination and technical support to the functioning of critical food system services (Pillar 3). FAO has expanded its presence in Ukraine and established a strong multidisciplinary team. FAO’s country office remains in Kyiv, with field offices in Lviv and Dnipro.


Reporting Lines

Under the overall supervision of FAO Senior Programme Officer / Head of Office, and the direct supervision by the FAO Resource Mobilization and Strategic Planning Specialist, the National Resource Mobilization and Partnerships Assistant will be responsible for providing visibility and organizational support to FAO Ukraine to help FAO meet program implementation and resource mobilization goals. The Assistant will support the Resource Mobilization and Strategic Planning Specialist on all topics FAO works on in Ukraine, including agriculture, livestock, and natural resource management.


Technical Focus

In particular this role will be key for ensuring that the resource mobilization office is well-organized and responds to needs to a timely way. This will include creating or maintaining databases, translating documents with the support of computer-aided translation (CAT) tools, preparing initial and follow-up emails for donor and partner meetings, and writing, researching or editing concept notes and proposals as needed. The person in this role needs to have excellent organizational skills, familiarity with standard office software, and an eagerness to learn new tools (such as Artificial Intelligence (AI) and CAT tools to help get the job done more efficiently.


Tasks and responsibilities

  • Conduct research on potential donors, partners, and funding opportunities, and maintain an up-to-date database of relevant contacts and opportunities.
  • Support the preparation of funding proposals, concept notes, and donor reports, ensuring that they are well-crafted, compelling, and aligned with FAO and donor requirements.
  • Contribute to the development and review of FAO Ukraine's strategic funding plans as requested, ensuring that they are consistent with the organization's mission, goals, and priorities.
  • Work closely with the communications team to support visibility, including writing social media posts, drafting press releases, and managing presence at events.
  • Work closely with program and operations unit on project cycle management steps offline and online in Field Program Management Information System (FPMIS)
  • Assist in identifying and establishing strategic partnerships with relevant stakeholders, including government agencies, NGOs, private sector entities, and other development partners.
  • Support the maintenance of effective relationships with existing partners, facilitating communication and coordination, and ensuring that partnership agreements are up to date and properly managed.
  • Manage databases and lists of partner contacts, activities and meeting records.
  • Draft emails prior to and post partner and donor meetings to support frequent and appropriate communication
  • Write minutes of meetings, circulate, compile and submit to supervisor
  • Support with translation in local language with NGOs and Private sectors
  • Any other duties as required by FAO

Minimum Requirements

  • A Bachelor's degree in International Development, Business Administration, Economics, Sociology, Agriculture or a related field; a Master's degree is preferred.
  • At least 3 years of professional experience in resource mobilization, partnerships management and coordination, preferably in an international organization or non-profit setting.
  • Fluent in Ukrainian, with very strong written and oral communication skills in English.
  • National of Ukraine.

  • Excellent organizational skills and advanced familiarity with Microsoft Office as well as other standard and/or innovative office tools.
  • Excellent research, analytical, writing and problem-solving skills, with the ability to present complex information clearly.
